THE TOOL
IS NOT THE STRATEGY.
ChatGPT, Claude, Gemini, Copilot, Perplexity, voice models, automation platforms and custom AI workflows all have a place. The skill is matching the right capability to the business problem, then connecting it to the way your team actually works.
A model is powerful, but it is still just one part of the system. Workflow, context, data and handover matter just as much.
The best research tool is not always the best automation engine. The best writing tool is not always the best voice agent.
Real ROI comes when AI connects to forms, inboxes, calls, documents, spreadsheets, calendars, CRMs and reporting.
WHAT WE USE.
WHERE IT FITS.
ChatGPT & OpenAI models
Useful for reasoning, structured outputs, tool use, coding support, workflow assistants, content drafting, data transformation and custom AI products. Strong when the job needs a flexible general-purpose model connected to actions.
Claude
Strong for long documents, careful writing, policy interpretation, research synthesis, board papers, training material and complex context-heavy tasks. Often useful where tone, nuance and document depth matter.
Perplexity & AI research tools
Useful for quick market scans, competitor reviews, source-backed research, trend discovery and background briefing. We treat these as research accelerators, not unquestioned sources of truth.
Microsoft Copilot
Useful when a business already lives in Microsoft 365: Word, Excel, Outlook, Teams, SharePoint and PowerPoint. The value depends heavily on file hygiene, permissions and team training.
Gemini & Google AI
Useful for Google Workspace environments, multimodal tasks, search-adjacent workflows and teams already using Gmail, Drive, Docs and Sheets. Like Copilot, it works best when the underlying workspace is organised.
Grok & fast-moving social context
Useful for some live conversation, social trend and fast-moving cultural context work. We use this carefully: speed is helpful, but business decisions still need verification and judgement.
MODELS NEED HANDS.
AI becomes commercially useful when it can do something: create a draft, update a sheet, send a notification, qualify a lead, summarise a call, raise a task, or prepare a quote.
n8n workflow automation
Our preferred automation layer for connecting forms, APIs, email, databases, CRMs, webhooks and AI models into maintainable workflows.
See workflow automation →Custom integrations
When the business process matters, bespoke PHP, JavaScript or API work can be cleaner than forcing a generic tool to do the wrong job.
See Rapid AI →Vector search & knowledge bases
Useful when a chatbot, assistant or internal tool needs to answer from your actual documents, FAQs, policies, product sheets or previous work.
Human approval points
Not every task should be fully automatic. Good systems know when to draft, when to suggest, and when to ask a human to approve.
BEYOND CHAT.
Voice AI
Answer calls, capture leads, qualify enquiries, summarise conversations and trigger follow-up workflows.
Voice agents →Chatbots
Answer customer questions, guide enquiries, collect details and hand over to humans when needed.
AI chatbots →Document AI
Extract data from PDFs, emails, forms, invoices, reports and messy documents, then push it into a usable workflow.
Image & creative AI
Useful for concept visuals, social assets, mockups, product ideas and design exploration, with brand judgement applied.
WHAT SHOULD USE WHAT?
Too much admin
Use n8n plus an appropriate language model to classify messages, extract details, draft replies, update systems and prepare next actions.
Slow quoting or proposal writing
Use ChatGPT or Claude with structured templates, business rules and document generation to reduce quote time and improve consistency.
Missed calls and enquiries
Use voice AI, transcription, summarisation and follow-up automation so calls become captured leads rather than lost opportunities.
Team not using AI properly
Use ChatGPT, Claude, Copilot or Gemini training around your team’s real work: email, meetings, research, reporting, documents and decision support.
Knowledge trapped in documents
Use retrieval, search and a controlled assistant so staff or customers can ask questions against your actual policies, FAQs, service details and documents.
Unclear AI priorities
Start with an audit. The biggest mistake is choosing a model before understanding the workflow, value, risk and owner.
MOST BUSINESSES DO NOT NEED MORE AI TOOLS.
They need fewer tools used properly, better workflows, cleaner data, clearer prompts, and systems that connect the moving parts. A subscription on its own rarely changes a business. A well-designed workflow often does.
That is why our advice is deliberately tool-agnostic: pick the model or platform that fits the job, not the one with the loudest launch video.
